Summary
The Office Administrator provides essential administrative and clerical support to Mount Kato staff and management, ensuring efficient and organized office operations. This role performs a variety of tasks, including but not limited to, managing office communications, maintaining records, assisting with basic accounting tasks, and providing excellent customer service to both internal and external stakeholders.
Essential Duties and Responsibilities

Office Operations and Administration:

Manage and maintain a well-organized and efficient office environment.

Serve as the first point of contact for office visitors and phone calls, providing professional and courteous assistance.

Direct inquiries to the appropriate personnel or departments.

Manage incoming and outgoing mail, email, and other correspondence.
-
Maintain and organize filing systems, both physical and electronic.

Manage office supplies, including ordering, inventory, and budget tracking.

Coordinate office equipment maintenance and repairs.

Assist with the preparation of reports, presentations, and other documents.

Communication and Customer Service:

Provide excellent customer service to guests, employees, and external partners, addressing inquiries and resolving issues in a timely and professional manner.

Maintain effective communication and positive working relationships with all departments.

Assist with internal communications, such as distributing memos, announcements, and updates.

Financial and Administrative Support:
-
Assist with basic accounting tasks, including processing invoices, expense reports, and purchase orders.

Maintain accurate records of financial transactions.

Assist with payroll processing and timekeeping.
-
Support the preparation of budgets and financial reports.

Assist with the coordination of meetings, events, and travel arrangements.

Data Entry and Record Keeping:

Perform accurate and efficient data entry for various databases and systems.

Maintain and update employee records, guest information, and other confidential data.

Ensure the accuracy and completeness of all records and documentation.

Other Duties:

Assist with special projects and other duties as assigned by management.

Maintain knowledge of resort operations, services, and policies.

Adhere to all company policies, procedures, and safety guidelines.
Qualifications

High school diploma or equivalent; Associate’s degree in Business Administration or a related field preferred.

Minimum of 2 years of experience in an office administration role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational skills and attention to detail.

Excellent written and verbal communication skills.

Ability to prioritize tasks, manage time effectively, and meet deadlines.
